Automatic emails for your salon: confirmation, reminder and feedback

Good client communication does not have to cost you an extra minute. With the right automation your salon builds a professional client relationship, even when you are in the middle of a treatment.

Imagine every client who books an appointment receiving a confirmation at the right moment, then a reminder, and after the treatment a friendly message asking how it went. Fully automatic, with your name and the client's name included. No manual work, no forgotten emails, no missed chance to make a good impression.

That is not science fiction. It is what smart salons already do today. Automated appointment reminders significantly reduce no-shows, and clients who feel personally addressed come back more often and spend more. Investing in good communication pays for itself twice over.

In this article we explain which automatic messages every salon should set up, what they should contain and why this works for you too.

The confirmation email: immediately after booking

A client books an appointment online. What do they expect in the next 30 seconds? A confirmation. Not tomorrow, not in an hour. Now. That immediate confirmation builds trust and removes doubt. They know the appointment is registered, when it is and with whom.

A well-written confirmation email immediately sets the tone for your salon: professional, personal and reliable. It also reduces the chance of a no-show from the start, because the client has in black and white what they booked.

What should a confirmation email include?

The client's name, the treatment, the date and time, the name of the team member carrying out the treatment, the salon address and a clear option to cancel or reschedule. Short, clear and friendly. No unnecessary text, no generic messages.

Optionally you can include practical information: what the client should bring, how to park, or anything they need to know before the treatment. For laser treatments or skincare that is certainly worthwhile.

The reminder: 48 hours and 24 hours before the appointment

A confirmation is the start. But the longer ago the booking, the greater the chance the appointment slips from memory. That is not rudeness, it is human. People have full diaries and do not live with your salon schedule in the back of their mind.

Salons that work with automated reminders see their no-show rate drop significantly. The difference lies largely in the timing of those reminders.

The 48-hour reminder

Two days before the appointment is the ideal moment for a first reminder. At that point there is still enough time for the client to cancel or reschedule if needed, which in turn gives you the chance to fill the opened slot via the waitlist. Preferably send this by email, early in the morning, so it is at the top of the inbox when the client starts their day.

The 24-hour reminder

The day before the appointment, a second, shorter reminder follows. This message does not need much text: date, time, location and a cancel link are enough. For more expensive or time-consuming treatments, such as laser hair removal or a full colour service, you can also send a third message on the morning of the appointment itself.

Most salons work with email reminders, which works fine for most clients. Salontailor also offers the option to set up SMS reminders. Text messages are opened faster and more often than emails, which makes them especially effective for clients who are less active in their inbox.

The feedback email: 24 hours after the treatment

The treatment is over, the client has left. For most salons, communication stops here. That is a missed opportunity, because this is exactly the moment when the client is most satisfied and most open to contact.

A feedback email 24 to 48 hours after the appointment does several things at once. It shows you care about the client, even after payment. It gives the client a low-threshold way to share their experience. And it helps you collect reviews systematically without having to remember every time.

In Salontailor, the feedback email includes a direct link to a personal feedback page. There the client gives a star rating and optionally leaves a written review. That feedback appears immediately in the feedback overview of your salon, where you can view, sort and follow up on everything.

Those collected reviews are more than internally useful. Salontailor provides two feedback widgets you can embed directly on your own website: a score widget showing your average rating, and a review list displaying real client reviews. You choose the style, colour and layout yourself. That way you automatically build social proof on your website, without any extra effort.

What should a feedback email include?

A short, warm message thanking the client for their visit. A question about how the treatment went. And a clear button linking to the feedback page. Keep it short. A feedback email that looks like a newsletter does not get read. Two or three sentences and a button are enough.

How do you set this up without technical knowledge?

It sounds complex, but it is not. A good salon management system has this built in. You do not need to be a developer and you do not need a separate email marketing tool either. You set up the templates once, choose the timing and the system does the rest.

In Salontailor you easily set up all communication flows via agenda management and administration and planning. Confirmation email after booking, reminder 48 hours before the appointment and feedback message 24 hours after the treatment. All with your salon name, the client's name and the relevant appointment details.

Once set up, you do not need to think about it again. Your salon communicates professionally with every client, at any time of day, even when you are in the middle of a treatment or simply asleep.

Conclusion: automate the communication, not the warmth

Automatic messages may sound cold or impersonal. But the opposite is true. A client who receives a confirmation at the right moment, then a reminder and after the treatment a genuine feedback request, feels well looked after. That is exactly what you want.

Automation takes over the logistical work. The warmth comes from you: your name, your tone of voice, your personal message. The system makes sure that message always arrives at the right moment. And the feedback that comes back automatically appears on your website as social proof for new clients.
