Email marketing for your salon

A newsletter that goes to your entire client list with the same message for everyone. That is how most salons approach email marketing. And it is exactly why those emails underperform.

The power of email marketing for hair salons and beauty salons is not in sending beautiful newsletters. It is in sending the right message to the right client at the right time. A client who has not visited in 90 days needs a different message than someone who came in last week. The better you segment, the better your results.

In this article we explain how to use email marketing smartly for your salon, which segments deliver the most, and how Salontailor works with the tools you already use or want to use.

Why newsletters work differently for salons

Email has one big advantage for salons that social media does not: you reach clients directly without an algorithm deciding who sees your message. Everyone who signed up receives the email. That makes email especially valuable for retention: bringing back clients who have already visited but are at risk of drifting away.

But that same direct nature also makes it vulnerable. An email that does not feel relevant is not only ignored, it also leads to unsubscribes. And every unsubscribe is a client you have definitively lost as a marketing contact. The key is relevance, and relevance starts with segmentation: knowing who you are addressing and why.

For hair salons, beauty salons and treatment centres, that relevance is often easier to achieve than in other sectors, because the client data is so concrete. You know when someone last visited, which treatments they book, how often they book. Those are exactly the details you need to send an email that feels like personal service instead of mass communication.

Segmenting based on client data

The client management and CRM in Salontailor offers extensive filter options that let you split your client list into meaningful groups. That is the foundation of every good email campaign for a salon.

You can filter on last appointment date, on the services someone has had, on total number of appointments, on whether someone received or used a gift voucher, and on whether someone is subscribed to the newsletter. Those combinations give you powerful segments you can link directly to targeted campaigns.

Practical segments that deliver results

Dormant clients. Filter on clients whose last appointment was more than 90 days ago. These are clients you know and who know you, but for some reason have not come back. A targeted email with a personal tone and optionally a time-limited discount code brings a significant share of them back. The chance of conversion is much higher here than with a completely new client, because the trust is already there.

Clients of a specific treatment. Say you introduce a new treatment that fits an existing service. Filter on clients who had that related service in the past and message them first. "You already know our [treatment X], we think you will also find [new treatment] interesting" works better than a generic announcement for everyone.

Loyal clients. Filter on clients with more than a certain number of appointments in the past year. These are your most valuable clients. They deserve an exclusive message: an early booking offer, a seasonal promotion for regular clients or simply a thank-you that feels like recognition.

New clients. Filter on clients who visited for the first time in the past 30 days. That is when the first impression is still fresh and a second visit is most likely. A follow-up email after the first visit, with a tip about the treatment or an invitation to schedule the next appointment, significantly increases your retention after the first visit.

Which campaigns work best

The content of a good salon newsletter is fundamentally different from that of a webshop or a B2B company. Your clients are not looking for long texts or product descriptions. They want to know if there is something new, if there is an offer, or if they are missing out. Short, personal and with one clear action per email.

Seasonal campaigns

The calendar year offers a ready-made campaign plan. Summer hair colours in May, autumn tones in September, pampering treatments as gifts in November, a skincare promotion after winter in March. Seasonal campaigns work well because they connect with a feeling clients already have. They do not need to be convinced of the need, only of the timing.

Introducing new treatments

When you introduce a new service, your existing client list is your first audience. They already know you and already trust you. Send an email to the relevant segment, explain the treatment in plain language and optionally offer an introductory discount for the first bookings. That way you fill your diary for a new service without having to advertise.

Gift vouchers around gift-giving moments

Birthdays, Mother's Day, Valentine's Day, the start of the summer holidays: these are moments when people actively look for a gift. A targeted email with a direct link to buy a gift voucher, sent two or three days before such a moment, is one of the most profitable campaigns you can send. Short, concrete and with one button.

Filling the diary in quiet periods

Do you see in your insights and analytics that a certain week or day is structurally quieter? Send a flash campaign to a segment of clients who have not visited in a while, with a discount code that is only valid that week. That is more targeted and more profitable than a blanket discount for everyone.

Integrations with Mailchimp, Brevo, MailerLite and ActiveCampaign

Salontailor integrates directly with the four most widely used email marketing platforms. If you already have an account with one of these tools, connect it to Salontailor via your API key. After that you synchronise your clients and they are available in your mailing tool as a target list for campaigns.

The advantage of this approach is that you combine the best of both worlds: the rich client data and filter options of Salontailor, and the professional email templates, automation flows and reporting of your email marketing platform.

Mailchimp

Mailchimp is the most widely used email marketing platform in the world and a good choice for salons just starting with email marketing. The free version already lets you send campaigns to a limited list, and the interface is intuitive enough to get started without marketing expertise. Templates are available for promotions, newsletters and seasonal campaigns.

Brevo

Brevo (formerly Sendinblue) is a French platform that is especially popular in Belgium and the Netherlands, partly because it is affordable and also supports SMS campaigns alongside email. If you want to centralise both email and SMS in one marketing tool, Brevo is a strong option.

MailerLite

MailerLite is a user-friendly platform known for its clean interface and good value for money. It is a good choice for salons that want a professional result without a steep learning curve. The free version is generous enough for most smaller client lists.

ActiveCampaign (via Mailblue)

ActiveCampaign is the most powerful platform on the list and best suited for salons that want to automate seriously. Think automatic flows that start when someone has not visited in 60 days, or personalised campaigns based on treatment history. The Belgian and Dutch partner Mailblue offers support in Dutch and is also directly connected to Salontailor.

How the connection works

You connect your email marketing platform in Salontailor settings via an API key. Then you select the list you want to synchronise clients to. Salontailor then synchronises clients who have the newsletter option checked in your client file. Only clients with consent end up on your mailing list, which is also the legally correct approach.

Once synchronised, you use the filters in Salontailor to determine the segment, export those clients to your mailing tool and build the campaign in the familiar environment of your email platform. The best of both systems, seamlessly connected.

Managing newsletter consent correctly

In Belgium and the Netherlands you are required to have explicit consent from a client before you send them commercial emails. That also applies to clients who have already visited. Letting someone book an appointment is not consent for your newsletter.

In Salontailor you can tick per client in the file whether they have given consent for the newsletter. That setting is also visible in the client's communication preferences. Only clients with that tick are synchronised to your email marketing platform. That way you automatically comply with GDPR requirements without having to think about it every time.

In practice it is important to collect consent actively: when booking online via an opt-in checkbox, during intake for new clients, or via a pop-up on your website. Salontailor supports a newsletter pop-up you can place on your own site to let visitors subscribe. Every subscribed contact is automatically added to your client list and synchronised with your email marketing platform.

The larger your list with explicit consent, the more people you reach with every campaign. That is an investment that pays for itself with every email you send.

Conclusion: email marketing works when it feels like service

A newsletter that goes to everyone with the same message is noise. An email that reaches the right client at the right time, based on what you already know about that client, feels like service. That is the difference between an email that is ignored and an email that leads to a booking.

Salontailor gives you the client data and segmentation options. Mailchimp, Brevo, MailerLite or ActiveCampaign gives you the tools to build and send those campaigns professionally. Together they form an email marketing system that works for your salon without you having to invest hours every week.
