Online masterclass for your salon: registration, deposits and reminder email

Your salon is not limited to your four walls. More and more salon owners share their expertise online: a masterclass on colour techniques, a webinar on skincare or a live Q&A for clients who live further away.

Online events require the same professionalism as a physical workshop, but with an extra challenge: participants need to be in the right place at the right time, often behind their screen. That only works if registration, payment and communication run smoothly.

In-person and online in one system

When creating an event, you choose the type: online event or in-person event at your salon. The rest of the flow is largely the same: title, description, date, time, price, maximum attendees and emails.

The advantage? You do not need a separate tool for webinars and another for workshops in your salon. Everything runs through events in Salontailor, with the same widget, the same client database and the same email settings.

Setting up an online masterclass

Start with a clear title and description. What will participants learn? How long does the session last? Do they need anything, such as a product or notes?

Then configure:

  • date, start time and end time;
  • maximum attendees (for example 50 for a webinar, 15 for an interactive masterclass);
  • price or free registration;
  • optionally a deposit for paid events;
  • registration opens from: when registration opens.

The widget and emails clearly show that it is an online event. That way participants know from the start that they do not need to come to your salon.

Bookable in the booking widget

Want to show your masterclass to everyone who books via your website? Turn Show in booking widget on. As soon as registration opens, the event appears at the top of your booking widget.

Clients see the event card with title, description and registration button. They fill in their details, pay if required and immediately receive a confirmation. For them it feels just as simple as booking a treatment.

That is useful when your masterclass is part of your regular offering, for example a monthly online session for your client base.

Separate widget and direct registration link

Promoting your masterclass specifically via social media, a partnership or a paid campaign? Use the direct booking link on the event detail page.

That link opens a separate widget that shows only that event. No services, no other options: just your masterclass with a registration button. Participants are taken straight to registration, without distraction.

You can offer the same masterclass in two ways:

  • visible in your general booking widget for existing visitors;
  • via a separate link for targeted promotion on Instagram, in your newsletter or on a partner site.

Capacity and deposits

Online events also have a limit. Via maximum attendees you decide how many people can register. Once the maximum is reached, registration closes automatically.

For paid masterclasses, the participant pays online via Stripe or MultiSafepay. You can ask for the full price or enable a deposit. Only after successful payment is the registration confirmed.

Confirmation email after registration

Per event you configure a confirmation email. It is sent automatically after registration. You customise the subject, content and header image per event.

Use shortcodes such as %%name%%, %%eventTitle%%, %%eventDate%%, %%eventStartTime%% and %%eventPrice%% to personalise the email. Clearly mention that it is an online session and what participants can expect.

Want to include the video link straight away? You can do that in the confirmation email. Many salons deliberately choose to put the link only in the reminder, so participants do not lose it before the start.

Reminder email with your video link

The reminder email is often the most important moment for online events. You enable it per event, decide how many hours before the start it is sent and write the content yourself.

Here you add the link to your online call. For example:

  • the Zoom or Teams link to your live session;
  • a short instruction: "Click the link 5 minutes before start";
  • optionally what participants need to prepare.

The email is sent automatically at the configured time. On the day itself you no longer need to send a hundred emails with "don't forget to log in".

After the event: follow-up

All registrations are on the event detail page and participants are in your client database. That makes follow-up simple:

  • invite participants to a follow-up workshop or treatment;
  • send a newsletter with products featured in the masterclass;
  • plan another online session and share the direct registration link.

New registrations also appear as a notification on your dashboard, so you immediately see when someone signs up.

Practical tips

  • Choose the right moment for your video link. In the reminder you keep the link fresh; in the confirmation you already include the practical info.
  • Schedule the reminder 1 to 2 hours before start. For online events that is often better than 24 hours in advance.
  • Limit the number of participants. An interactive masterclass with 12 people works differently from a webinar with 200.
  • Use the separate widget link in campaigns. Fewer steps means more registrations.
  • Note what worked. Which title attracted people? How many no-shows did you have? Adjust your next event accordingly.
